St. Albans & Harpenden specific policy - in addition to the standard Terms & Conditions listed below

Please find below my localised policy for the provision of classes delivered by the Baby Sensory St. Albans & Harpenden Franchise.
What happens if I am unable to attend a class during my venue-based booking?
All bookings will be in your chosen venue and at your booked class time only. Due to class size restrictions we are generally unable to offer ad-hoc swaps to do catch up classes at different times. If you have to miss a booked class for any reason, you can email to request a recording of Baby Sensory activities which will be available for 7 days.
If you know in advance you are unable to attend a class, you are welcome to offer your space to a friend or relative to attend in your place – please just make sure I am informed of this in advance. You can still request a recording to enjoy at home.
What happens if you, the class leader, are unable to run a class?
- If I am unable to run a class, then compensation will be offered in the form of a rescheduled catch-up class at the same venue at the end of the half-term block. Dates will be advised of this in your welcome email and confirmed by your class leader.
- If customers are unable to attend the re-scheduled catch-up class, a recording of Baby Sensory activities will be offered to enjoy at home.
Older siblings & additional adults
Unfortunately, I am not insured for older children to attend our classes.
We welcome visitors in class, who can enjoy watching the class from chairs at the side or, if space allows once the class has started, can join you on the mats.
Please arrange this in advance of your session. We also need to ensure everyone who wants to make use of this opportunity is able to.
Illness policy in venue-based classes
If you have any symptoms of being unwell, from something as simple as a cold, we ask that you enjoy your Baby Sensory class from home. You can email to request a recording so you can then enjoy the sessions as many times as you like in 1 week. Should you or your baby fall ill with Covid-19 or any other contagious illness, we ask that you notify us immediately.
Photographs on Social Media
During our classes we may take pictures for use on social media. Customers are asked for their permission at the time of initial customer registration prior to booking. Please do not hesitate to let us know if you would prefer that you or your baby are not photographed, and we will ensure these picture/s are not shared by Baby Sensory.
Refunds
Please note I am charged for all bookings by our card payment platform provider. Any refunds issued to customers will be subject to this charge being deducted from the amount to be refunded (eg a single class carries a card payment charge of £1.00 / a block of classes carries a card payment charge of £2.50)
Terms & conditions under government guidelines (eg Covid)
What happens if we go into lockdown during my venue-based booking?
Baby Sensory St. Albans & Harpenden will run classes at our venues following government guidelines. Should the government advice change, or Baby Sensory St. Albans & Harpenden decide we need to protect our staff and customers, the term you have booked at Baby Sensory St. Albans & Harpenden may be delayed or put on hold, or moved online. In the event of a further lockdown / reintroduction of tiering / venues being closed or if we are personally unable to run classes due to Covid, your in-venue classes will immediately continue online via Zoom. Should lockdown restrictions need to be re-imposed for any reason, we will continue our term online to enjoy @home. Online classes will be offered for the duration of the lockdown / until we are able to return to venue. A recording of the online class will also be available if preferred. Please note that by making an in-venue booking, you are accepting that it may be necessary for some of the sessions you've booked to be transferred online. Regrettably, it will not be possible to refund or defer any in-venue bookings during the term.
Masks/face coverings in venue-based classes
Although the statutory requirement to wear a face covering in England has been lifted, the Government guidance on ‘Working Safely during Coronavirus’ for England and the guidance on face coverings for England states that people should wear face coverings in crowded and enclosed settings where they come into contact with people they do not normally meet. I will continue to wear a mask whenever I am not on my mat, and would encourage everyone else to do the same.
Once seated within the class itself you are welcome to remove your mask if you wish. We also suggest wearing a mask when we move closer for activities like parachutes or cloth activities in the central sensory area.

Our H & S and Illness policy means we will contact the entire class to make them aware they may have been exposed to illness. We are committed to supporting the track and trace scheme and if required, will share your contact details with an NHS Contract Tracer.
Mobile babies in venue-based classes
Our mobile babies are welcome to explore the central sensory area, but please listen to guidance from the class leader as for a few activities babies will need to stay on their individual mats with you.
Please all be mindful and respectful of the other parents/carers and their babies, and make reasonable efforts to adhere to distance guidelines. Please wear your face covering when not stationary on your mat.
Terms and Conditions
1. Spaces will be considered fully booked on receipt of full course fees. (Please state the delegates name or invoice number as the reference for the payment).
2. Payment must be received in full prior to the course start date. Delegates cannot attend the training course until full payment has been received.
3. WOW World Group reserves the right to cancel a training course without prior notice. But will endeavour to give at least 14 days’ notice in the unlikely event of a course being cancelled. All course fees will be refunded in full or a new course date will be organised. WOW World Group cannot accept responsibility for other costs incurred as a result of a cancellation. Please check cancellation policies with your accommodation/travel providers when you make the reservation.
The following cancellation policy applies: • Cancellation within 30 days of the training course start date: 90% refund of training fees, 20% refund of initial fees. • Cancellation within 14 days of training course start date: 0% refund of any fees. • If a Trainee transfers to another later course any venue/admin costs that cannot be cancelled are for the account of the Trainee/Employer/Franchisor. All cancellations must be received in writing (An email to Head Office is acceptable). |
4. Relevant communications (pre-training, venue information etc.) will be sent directly to the delegates. Franchisors/Employers will be copied into these communications.
5. Please ensure any pre-training requirements are carried out in advance of the training course and post-training commitments after the course.
6. Trainee feedback will be given directly to the Franchisor/Employer over the phone, after the training course.
7. If a Trainee fails to meet the course assessment criteria, unfortunately the training team may have to fail them (no refunds are issued). All Trainer decisions are final. A second round of training at the WOW Centre at 50% discount can be attempted, subject to future course availability and delegate suitability.
8. Franchisors need to be trained in all the programmes that their team are operating. Franchisor observation rates are 50% of full course rate (for support only purposes).
9. Maternity Cover Only - Reserving spaces. Regrettably spaces can only be reserved in the case of Class Leader candidates for Maternity Cover. If you wish to reserve a space on a course for Maternity Cover but do not yet have a candidate, please send an email to trainingforms@wowworldgroup.com requesting that a maternity space be kept for them. You must provide your name, email address and the date of the course. NOTE: We will reserve the training space for up to 3 weeks prior to the training course date. At which point we will release the space, unless we have received your full booking online. We will send an invoice for 50% of the training fee to reserve the space. At least 3 weeks prior to the training event the employer must use the booking link via the confirmation email to complete the full booking form, with trainees details, making sure to enter the date of the course they wish to attend. On receipt of this form we will send you an invoice for the remaining 50% of the training fee.
WOW World Group - Kit Orders
1. Kit can be paid in advance of the training course, however communications with the Supplies department must take place to determine the Trainee’s start date and to help understand delivery expectations.
2. Please contact the relevant programme co-ordinator regarding kit purchases and lead times for guidance. Please be aware that kit lead times could be around 6 to 8 weeks:

3. WOW World Group will dispatch your kit to the address provided on the online booking form, please notify WOW World Group within 1 week prior to the course if you wish to change the delivery address.
4. WOW World Group will advise you of items that may be missing from the equipment list (enclosed in the boxes) this may include (but not limited to) temporarily out of stock items or made to order items exclusive to WOW World Group. These items will be dispatched to the delivery address provided as soon as possible.
5. Kit may only be shared under the terms of the Kit sharing policy. Otherwise the assumption is one kit per territory.
6. Should a Trainee fail the training course who has purchased kit, they will be provided with a full refund, but there will be a 5% admin fee applied.
